Roles and access permissions for your team
Decide who can change tasks, edit articles, invite colleagues and work with invoices. Create roles based on job duties. Give access to boards and the knowledge base to people or whole departments.
Which permissions you can set in Lovox
You can pick each of the 16 permissions separately in a role. They control what a team member can do on the boards and sections they have access to.
Tasks and boards
Choose who can create and set up boards, edit tasks and write comments. For example, let a team member work with tasks and leave board setup to the manager.
Knowledge base
Let team members create and edit articles. Managing sections and their access is a separate permission. The author of an instruction doesn’t need the right to change the structure of the whole knowledge base.
Team
Set who invites colleagues, assigns them roles and departments, and manages the team. Viewing team members’ emails and phone numbers is also a separate permission.
Settings, reports and invoices
Give separate permissions for workspace settings, viewing all content, the audit log, reports, invoices and hourly rates, and data import and export.
Create roles for your team
Name a role after a person’s duties and check the permissions they need. For example, let a project manager set up boards and view reports, and let an accountant work with invoices and rates. Then assign the role to team members.
- Permissions are changed in the role itself and apply to everyone with that role.
- Members with the “Manage roles” permission can create and edit roles.
- The system “Admin” role has all permissions. You can’t edit or delete it. Only another admin can assign admins.
Board and knowledge base access by department
Group team members into departments and open the boards and knowledge base sections each one needs. For example, give the sales department access to its projects and instructions. The role defines allowed actions. Access settings define which content a person works with.
- Open a board to the whole workspace or to selected people and departments. Knowledge base sections have their own access settings too.
- A board group can use its parent group’s access or have its own list of members and departments.
- Admins and members with the “View all content” permission also see restricted boards and published knowledge base content.
Invite team members and manage your team
The “Team” page shows who is in the workspace, which roles they have and which departments they belong to. Invite colleagues here and change their access when their duties change.
- Create an invite link and choose the role new members will get. The link shows who has already joined.
- Changing team members’ roles and departments requires the “Manage members” permission. It also lets you remove members from the workspace.
- Changes to roles, access and team membership are recorded in the audit log. Members with the matching permission can view it.
Questions about team access
How is a role different from board access?
A role defines allowed actions, for example editing tasks or managing members. Access to specific boards and knowledge base sections is set separately.
Can I give access to a whole department?
Yes. You can give access to boards and knowledge base sections to individual people or departments.
Who can change member roles?
Members with the “Manage members” permission can change the roles assigned to people. Creating and editing roles themselves requires the “Manage roles” permission.
