Questions and answers about Lovox

How to organize your team’s tasks, build a knowledge base, record a meeting and move data from another service. Here you’ll find answers about Lovox features, access settings and billing.

About Lovox and workspaces

What is Lovox and what is it for?

Lovox helps your team run tasks and projects, keep work guides, record meetings and view reports on completed work. Task boards and the knowledge base live in one workspace.

For example, you can run a project on its own board, collect guides for assignees in the knowledge base and save the meeting recording next to them. Links between tasks and articles help you get back to the right materials when questions come up.

How is Lovox different from a task manager?

In Lovox, task management is connected to the knowledge base and meeting recordings. A task can link to a guide, and an article shows its related tasks. It’s easier for your team to find both the assignment and the materials needed to do it.

Reports show completed tasks, time spent, how tasks move through statuses and the cost of work based on hourly rates. For example, a manager can compare planned and actual time and see which tasks took more hours.

What are a workspace and a board?

A workspace brings together your team, its tasks, knowledge base and access settings. You can use separate workspaces for different companies or teams and switch between them in one account.

A board holds the tasks of one project or process. It has its own statuses, labels and custom fields. For example, for development you can create a board with the statuses “To do”, “In progress”, “In review” and “Done”. You can group boards together.

Task management and automation

Does Lovox have Kanban, List and Calendar views for tasks?

Yes. You can open the same tasks on a Kanban board, in a list, in a calendar or on a timeline. Switching the view changes how tasks are shown. The tasks themselves stay the same.

Kanban works well for status-based work: you drag cards between columns. A list makes it easy to compare due dates and assignees and to sort and group tasks. The calendar shows tasks by date, and the timeline helps you see how long they take and where they overlap.

Can I assign several people to one task?

Yes. A task can have several assignees. Pick them in the task card, then use filters by team member to find the tasks you need.

In the card you also set the due date, priority, labels and planned time. If the standard fields aren’t enough, add your own, such as a client, a budget or a link to source materials.

How do subtasks, checklists and task links work?

A subtask has its own assignees and due date. Use it for a separate stage of work. For example, a task called “Prepare the launch” can have subtasks for design, copy and review. For a short list of steps inside one task, use a checklist.

You can link tasks to each other and mark a blocking task or a duplicate. You can also link a task to a knowledge base article, so the assignee can open the right guide right away.

How do I set up recurring tasks and reminders?

You can set a repeat schedule in a task: every day, on weekdays, on certain days of the week or once a month. For example, a weekly report will appear on the board every Friday. Future repeats show up in the calendar.

You can change or skip a single repeat. Lovox also reminds you about upcoming due dates and overdue tasks. You set up notifications in your profile.

What can I automate in Lovox without code?

You can create a rule on a board: pick an event and the action Lovox takes after it. For example, when a task moves to “In review”, assign a reviewer or send a notification. Each action gets its own rule.

Rules can run when the status changes, a due date arrives, a label is added, or an assignee is added or removed. Actions include changing the status, changing assignees, adding a label and sending a notification.

Each rule has one event and one action. You can see the run history in the board’s automation log.

Knowledge base and meeting recording

What can I keep in the Lovox knowledge base?

In the knowledge base you can collect guides, policies, project notes and meeting recordings. Articles hold text, images, video, tables and files. Materials are organized into sections with their own access settings.

For example, create a section for new hires and put guides for their first days there. To make searching easier, articles have properties, filters and saved views. You can link articles to each other and to tasks.

How do I track who has read knowledge base articles?

Lovox shows on the article card how many people have read it. Each team member also sees which materials they haven’t read yet and can mark an article as helpful.

The read counter helps you see whether your team opens the materials. It doesn’t confirm that a person understood a policy or can apply it at work. Lovox doesn’t have required reading with confirmation yet.

Does Lovox have courses and tests for employees?

Courses and tests are in development. Right now you can’t create a course with lessons and knowledge checks in Lovox, and there is no confirmed launch date yet.

You can already use the knowledge base for training: collect guides and videos in a separate section, give new hires access and create tasks with links to the materials. Knowledge checks with tests have to be run separately.

Can we edit an article or a task description together?

Yes. Several people can work on one document at the same time and see each other’s changes. The shared editor is used in knowledge base articles and task descriptions.

A document is built from blocks: headings, paragraphs, lists, checklists, tables and more. Type “/” to pick a block. You can add images, video and files to the text and move blocks into the order you need.

How do I record a meeting in Zoom, Google Meet or another service?

Click “Record meeting” in Lovox and choose a recording source. Lovox records the screen and audio from your computer, so you can save a call from Zoom, Google Meet, Yandex Telemost or any other calling app. You don’t need to add a bot to the meeting.

In the browser, allow screen access and choose an available audio source. The Lovox apps for macOS and Windows can record system audio, so the other participants can be heard in the recording.

If the app closed during recording, Lovox will try to save the part of the meeting that was already uploaded the next time you launch it. Parts that didn’t finish uploading may be missing.

Where do I find the meeting recording and transcript?

When recording ends, Lovox saves the meeting as an article in the knowledge base section you chose. Team members with access to that section can open it. You can add conclusions to the article and link tasks.

The transcript contains timestamped lines and is linked to the recording. It helps you find the right moment in the conversation. You can fix recognition errors by hand and watch the video right in Lovox.

AI assistant and connecting agents

What AI features does Lovox have?

The built-in AI helps you rephrase a comment and prepare a short summary of a task or board. For example, a task summary helps you understand a long discussion before you join the work.

You can read and check the result before you use it. Requests to the built-in AI are saved in the AI activity log. Access to this log depends on the team member’s role.

Can AI change tasks on its own?

The built-in text and summary features don’t change task statuses or assignees on their own. For such actions, Lovox has board automations and external AI agents.

An automation runs a rule you set up in advance. An AI agent gets an instruction in plain words and takes actions within the permissions it was given. For example, you can allow it to update a task status or add comments.

How do I connect Claude, Codex or another AI agent via MCP?

In workspace settings, open “AI agents”, choose a client and create an access key. MCP lets an external assistant read Lovox data and take allowed actions. To connect, follow the guide that Lovox shows you.

The agent can read tasks, change their status and assignees, check off checklist items and write comments. In the knowledge base, you can allow it to search, read, create and edit articles.

You choose each permission separately. If you only need search across your team’s materials, give read access. The agent can’t access boards and sections that are closed to the key owner. You can revoke the key to end the connection.

Roles, data access and sign-in

How do I set up team roles and permissions?

Create a role, name it after the person’s duties and choose the permissions it needs. For example, a project manager can be allowed to set up boards and view reports, and a guide author can edit the knowledge base.

Lovox has 16 permissions: working with tasks and articles, managing the team, access to reports, billing, settings and other actions. Members with the “Manage roles” permission can create roles.

The system role “Administrator” has all permissions. It can’t be changed or deleted. Only another administrator can assign or remove administrators.

How do I give a department access to a board or a knowledge base section?

Group team members into a department and add that department in the access settings of the board or section. This opens the materials to a whole group, such as sales or support. You can also give access to individual people.

A role sets what a person is allowed to do. Access to a board or section sets which materials they see. Restricted materials are also visible to administrators and members with the “View all content” permission.

How does Lovox protect access to your team’s data?

In Lovox you can restrict access to boards and knowledge base sections, set up team roles and turn on two-factor protection for your account. Changes to roles and access are recorded in the audit log.

In account settings you can check active sessions and sign out of devices you no longer use. The terms of personal data processing are in the Personal Data Processing Policy, and the terms of use are in the Terms of Service.

How do I sign in to Lovox and turn on two-factor protection?

You can sign in to Lovox with a one-time code from an email. Yandex, VK ID, Google, Apple and passkeys are also supported. The sign-in page shows the methods available to you.

A passkey lets you confirm sign-in with your device, for example with a fingerprint or face recognition. For extra protection, you can set up one-time codes from an authenticator app.

Account settings show your active devices and sessions. If you signed in on someone else’s computer or lost a device, you can end that session.

Data migration and integrations

How do I move data from Notion, ClickUp, WEEEK or Trello?

Notion, ClickUp and WEEEK connect to Lovox directly. Trello data moves via a JSON export file. CSV import isn’t available yet.

Open “Import” in workspace settings, choose a source and follow the guide. Before you start, you can review the data found, choose how much to move and match authors and assignees with Lovox members.

Start with one project and check the result. The fields that move depend on the source. Limits and warnings are shown in the import report.

What should I do if an error comes up while moving data?

Open the import report. It shows the migration status and warnings about data that couldn’t be fully processed. The report tells you what to check in the source service or file.

For imports from a connected service, you can manage the run: pause, resume or cancel it. If the result doesn’t suit you, you can roll back the imported data. The available actions depend on the import status.

When it finishes, compare a few tasks and articles with the originals: check the text, assignees, due dates and attachments. This helps you spot differences before your team starts working in Lovox.

How do I export data from Lovox?

A member with the “Export and import” permission can request a workspace export. The archive is prepared in the background, and you get a notification with a link when it’s ready. You can download the archive for seven days.

For spreadsheets, there is a separate export of task data in the reports section. It’s useful when you need a data set for analysis or want to pass it to a colleague. Access to the export depends on the member’s permissions.

What integrations does Lovox have?

You can show tasks with due dates in an external calendar using a personal subscription link. Add it to a calendar that supports such subscriptions, such as Google Calendar or Apple Calendar. The calendar only shows tasks from Lovox. To change the tasks, use Lovox.

To exchange events with external systems, there are webhooks. Lovox sends event notifications to the address you set, and the delivery result is shown in the log. Setting up the receiving system takes some technical work.

External AI clients connect via MCP and work with tasks and the knowledge base within the permissions you grant. Ways to move data from Notion, ClickUp, WEEEK and Trello are described in the import section.

Apps and interface settings

How do I use Lovox on iPhone and Android?

On a phone, Lovox opens in the browser. You can add it to your Home Screen and launch it from its own icon. You install it from the browser. There are no separate Lovox apps in the App Store or Google Play.

Your phone has the same work data as your computer. For example, you can open a task, reply to a comment, change the status or read a guide in the knowledge base.

Are there Lovox apps for macOS and Windows?

Yes. You can download the Lovox apps for macOS and Windows on the apps page. They run in their own window and support system notifications and automatic updates.

The apps can capture system audio for meeting recording. You can also use Lovox in the browser without installing anything. Your account and work data stay the same.

Is there a dark theme and an English interface?

Yes. In Lovox you can choose a light or dark theme and a Russian or English interface.

These settings help you tailor your workspace. Changing the interface language doesn’t translate your team’s tasks and articles.

Pricing and time tracking

How much does Lovox cost and how do I pay for a subscription?

Lovox has three plans: Free, Premium and Business. Free costs ₽0 and is built for teams of up to 5 people. You can use it with no time limit.

On paid plans, you pay for each workspace member. For example, a team of 10 pays for 10 seats. You can pay monthly or yearly, in rubles.

Paid plans suit teams that need more members, more file storage and more automations. The pricing page lists features, limits and yearly billing terms.

What is included in the free Lovox plan?

You can use the Free plan without paying. Up to 5 members You don’t need a bank card to get started, and you can use the free version with no time limit.

On Free, you can work with boards and tasks, build a knowledge base, record meetings with transcripts and view reports. This lets you try Lovox on your own project before you move to a paid subscription. The plan limits are listed on the pricing page.

How do I track work time and calculate the cost of tasks?

In a task you can set planned time and log the minutes you actually spent, with a comment. You can mark a time entry as billable. The “Time” report helps you compare planned and actual time by task and team member.

To calculate the cost of work, set hourly rates for a team member, a board or the workspace. Each rate has a start date, so the calculation uses the rate in effect on the date of the time entry. The “Money” report shows costs by board and team member.

Viewing regular reports and working with rates and money data are controlled by separate permissions. For example, a team member can see the time report without access to cost calculations.
